Privacy Policy

Who this policy covers

This policy explains how WeBlossom Platforms Inc. (“WeBlossom,” “we,” “us”) collects, uses, and protects information through Blossom, our software for New York child care centers. It applies to the center directors, teachers and other staff, and parents/guardians who use Blossom, and to the information centers enter into Blossom about the children in their care.

Children do not create Blossom accounts or interact with the app directly. Information about a child is entered and managed by the child's care center and, where applicable, by the child's parent or guardian — never collected directly from the child.

Information we collect

  • Account information — name, email address, role (director, teacher, or parent/guardian), and center affiliation.
  • Enrollment and attendance records — a child's name, date of birth, classroom, photo, and check-in/check-out times, including location data used for classroom-based and location-aware time clock features.
  • Billing information — invoices and balances due. Payment card details are collected and processed by our payment processor and are not stored on Blossom's servers.
  • Health and compliance records — immunization records, medication logs, allergy plans, incident and drill logs, and other records centers are required to keep under New York State child care regulations.
  • Messages and activity logs — messages between staff and families, and daily activity notes (meals, naps, outdoor play, and similar).
  • Voice input — if a teacher uses voice check-in/out, the audio is processed to produce a text record and is not retained as an audio file beyond that transcription step.
  • Device and usage data — standard technical data such as device type, app version, and crash or diagnostic logs, used to keep Blossom reliable.

How we use information

  • To operate Blossom's attendance, billing, staffing, messaging, and compliance features.
  • To generate safety-relevant alerts, such as late-pickup or allergy alerts, for the staff and families who need them.
  • To help centers meet New York OCFS recordkeeping requirements.
  • To communicate with users about their account or center, and to respond to support requests.
  • To maintain, secure, and improve the product.

How we share information

We share information within a center as intended by its use — for example, a teacher's attendance entry is visible to that center's director and to the relevant child's parent or guardian. We do not sell personal information, and we do not share it across unrelated centers.

We share information with a small number of service providers who help us run Blossom — for example, cloud hosting and payment processing — under contracts that limit their use of the information to providing that service. We may also disclose information when required by law, such as in response to a valid request from a regulator or law enforcement, or to protect the safety of a child or staff member.

Children's privacy

Blossom is a tool for the adults who run and use child care centers, not a service directed at or used directly by children. Centers act as the data controller for the information they enter about the children in their care; WeBlossom acts as a data processor on the center's behalf, consistent with the center's own obligations to families and to New York State.

Data security

We use industry-standard safeguards to protect information in Blossom, including encryption in transit, access controls that limit staff to the data relevant to their role, and regular review of our security practices. No system is perfectly secure, and we encourage users to protect their own account credentials and report anything suspicious to us right away.

Data retention

We retain information for as long as a center's account is active and as needed to meet New York State child care recordkeeping requirements, which for some compliance records can extend beyond a child's enrollment. When a center closes its account, we work with the center to delete or return its data, subject to any legal retention obligations.

Your choices and rights

Depending on your role and location, you may have rights to access, correct, or request deletion of your personal information. Staff and parent/guardian users can update most account details directly in the app; for anything else, including a full account or data deletion request, see Support for how to reach us — we respond to verified requests within 30 days.

Changes to this policy

We may update this policy as Blossom evolves. We'll change the date at the top of this page when we do, and for material changes we'll take reasonable steps to let center administrators know.
